Hi June!

I've got a complaint letter from Mr Michael Leung on 10 March 2011. He raised several problems in the exhibition Sound Systems 2011 at the Fortune Hotel (23-25 February) in his letter. I'd like to ask for your help on handling this case.

Firstly, he complained on our server capacity. It was totally unworkable that he couldn't register successfully. Secondly, he was unsatisfied about the crowded venue of the exhibition.There are concerns about the physical safety of attendance. Lastly, he mentioned that the leaflets distributed in the exhibition wasn't enough so he couldn't get one.

I need to reply to his letter with relevant solutions and compensations, so I need your opinion about how to deal with this case. Please reply me as soon as possible! Thanks!

Subject: Approval for Suggestion and Compensation to Mr Leung


Dear Anne,

I received a complaint letter from Mr Michael Leung on 10 March 2011. I am now writing to ask for your approval on implementing my suggested solutions on tackling his case. In his letter of complaint, he raised several problems in the exhibition Sound Systems 2011 at the Fortune Hotel (23-25 February). And I will inform you about the causes of the problems and suggest certain means to solve these issues.

1. On-line Registration
He complained on our server capacity was totally unworkable that he could not make application by on-line facilities so he had to register by faxing. This is because our server capacity is too low and cannot support too many applications at the same time. Therefore, I recommend to upgrade our on-line registration facilities for better service to the public.

2. Crowded Venue
Mr Leung also pointed out the overcrowding in the venue of the exhibition.The venue was only suitable for a medium-sized business conference and was too small for the exhibition. Due to the lateness of booking, the ideal venue was not available. So I proposed to make the reservation earlier in order to reserve a more spacious venue.

3. Not Enough Leaflets
He mentioned that the leaflets distributed in the exhibition was not enough lastly. Since the exhibition was indeed successful that it was more popular than we had expected, the printed leaflets was not enough for the needs of all attendees. Hence, I suggested that we should provide electronic version of the leaflet and have a more accurate estimation next time.

I will reply to his letter with relevant solutions and compensate Mr Leung with a hard copy of leaflet and a ticket for the coming event. Please give approval for certain issues and thank you for your attention.

In your letter of complaint, you raised several problems in the exhibition Sound Systems 2011 at the Fortune Hotel (23-25 February). After receiving your letter, we seriously look into the issues and come up with certain solutions.

Firstly, for the problems in our on-line registration, you complained its server capacity was totally unworkable that an application could not be made successfully by on-line facilities so you eventually had to register by faxing. This is because our server capacity is too low and cannot support too many applications at the same time. Therefore, we will upgrade our on-line registration facilities for better service to the public.
